Code of Conduct Provenance Loves Wiki 2024

This event is jointly organised by the volunteer kuwiki organising team supported by Wikimedia Germany. The volunteers organise the content of Provenance Loves Wiki (short: PLW), while the Wikimedia associations provide support as needed. Wikimedia Deutschland also takes responsibility for the logistics, is the contractual partner for service providers and one of the providers of the event venues and therefore acts as the holder of the house rules. Together, we ensure a good and safe event for all participants.

Why do we need rules?

Openness and inclusivity are basic principles of the Wikiverse. We also want to apply them here at PLW. They can only be achieved with good teamwork during the event. This usually works very well. However, if things do not work out, rules are a good basis for resolving conflicts. All participants explicitly agree to these house rules when registering.

This event is generally open to everyone. Respectful interaction is expected - whether towards volunteers, cultural heritage professionals, Wikimedia employees or other attendees at the event. This also includes accepting different points of view, assuming good intentions and expressing criticism constructively.

Where do these rules apply?

Application of the house rules extends to all venues named in the program where official program items take place and their immediate surroundings, as well as the virtual event platform to which all registered participants receive access from the organising team.

Rules of Conduct

The actions listed below will not be tolerated. Anybody to whom any such action has been pointed out, has to cease this action at once. The enforcement of this Code of Conduct will be according to these rules. Anybody who doesn’t adapt their unwanted behaviour when pointed out to them, can be excluded from the event. In very grief cases the expulsion can be immediate. The last instance of decision lies with Wikimedia Deutschland and the appointed persons for this event, as appointed by Wikimedia Deutschland.

Harassments and Threats

  • Harassment includes, but is not limited to, offensive and discriminatory statements about gender, sexual orientation, age, disability, physical appearance, culture, ethnicity or belief, stalking, following, unwanted photography or recording, unwanted physical contact and unwanted sexual advances.
  • All forms of intimidation, threats or use of violence, as well as incitement to do so, are also unacceptable.

Trolling

  • This includes repeatedly disrupting presentations and other events, as well as intentionally disrupting conversations or interfering in ongoing discussions with malicious intent, for example with intentional provocation.

Doxing

  • Always respect other people's wish for anonymity or pseudonymity (Wikipedia:Anonymity) and observe personal rights. Always make sure that people have explicitly consented to the disclosure of personal data (e.g. real name, e-mail address and information about their identity). The deliberate publication of a personal identity or personal data, as well as the publication of private communication without consent, is not acceptable.

Unwanted photo, audio or video recordings

  • All participants have the right to decide for themselves whether or not they want to be part of photos or video recordings (use of orange lanyards indicates this decision). Consent is voluntary and can be refused without giving reasons and without incurring disadvantages. This decision will be requested when registering for the event. Details can be found in the attached data protection information for the publication and sharing of photos and videos (in German).
  • Please note that people wearing a visible orange lanyard with the inscription "No photo, please!" do not want to be photographed or filmed.
  • If you would like to conduct an interview, ask for express permission in advance and clarify the publication regulations with everyone involved.

Mutual consideration and protection of minors

The basic rule is: Be considerate and look out for each other! The following rules apply to the protection of minors and other participants and will be enforced accordingly.

Alcohol

  • The legal regulations for the protection of minors apply. Only beer, wine and sparkling wine will be served at the event. Alcoholic beverages will not be served to persons under the age of 16.
  • It is prohibited to bring alcoholic beverages to the event venues.
  • The serving of alcohol may be restricted in certain cases, e.g. in the case of persons who are clearly under the influence of alcohol and pose a risk to themselves or other participants. In such cases, people may be excluded from the event. The final decision lies with Wikimedia Deutschland and the service providers commissioned by Wikimedia Deutschland.

Tobacco consumption

  • Smoking is prohibited in all indoor areas. This also applies to the use of e-cigarettes, e-shishas, etc. Smoking areas will be designated outside the venues.
  • The legal regulations for the protection of minors also apply to the consumption of tobacco and similar products, meaning that consumption is not permitted for persons under the age of 18.

Drug use

  • The consumption of non-medically indicated, legally prohibited substances is prohibited on the entire event site.
  • Persons under the influence of drugs may be denied access to the event. The final decision lies with Wikimedia Deutschland and the service providers commissioned by Wikimedia Deutschland.

Hygiene concept

  • If there is a hygiene concept or hygiene recommendations for the event due to an epidemic or pandemic situation, these will be based on the local laws and regulations in force at the time the event is held.
  • A possible hygiene concept would be published as early as possible before the event and must be adhered to.
  • Please take into account that a worsening pandemic situation may require the hygiene concept to be adapted to keep in line with local laws and regulations.

House rules of the venues

Additional house rules of the venues also apply.

  • Animals are not permitted - with the exception of necessary support animals.

Liability

Liability for the loss of valuables is excluded unless Wikimedia Deutschland can be accused of intentional or grossly negligent behaviour.

Support and assistance in dealing with breaches of the house rules

We all want to make the conference a safe and enjoyable experience for all participants. If you are bothered by someone's behaviour, give them direct feedback and ask them to change their behaviour, for example with requests such as "Please don't come so close to me!" or "I find your attitude confrontational and would like you to ..." or "If you don't want to listen to me, I'll end the conversation." If you feel harassed, or notice that someone else is being harassed, or if other help is needed, e.g. to enforce the house rules, contact reception or someone from the event organising team. The case will then be recorded by talking to all parties involved, as far as possible.

In case of immediate danger, call the police (110), the fire and rescue department (112) or the emergency medical service for not life-threatening situations (116117) and inform the organising team or an employee of Wikimedia Deutschland.
